Self-Hosted Email for Bengaluru Startups: Save Money and Own Your Data
6 min read
Bengaluru startups are increasingly looking at self-hosted email: lower long-term cost and full control over data. This guide is for local founders who want to understand when it makes sense and what it takes.
Cost – No per-seat license. You pay for server and optional management. For 20–50+ users, the total cost over a few years can be lower than Google Workspace or similar. Data ownership – Mail and attachments stay on infrastructure you control (or your provider's, under your terms). Important if you handle sensitive data or want to avoid lock-in. Custom domain and branding – You already use your domain; self-hosted keeps everything under your roof with no vendor deciding retention or access policies.
- A server (VPS or dedicated) or a managed private-mail provider.
- Design and setup: domains, security (SPF, DKIM, DMARC), backup, and (if needed) compliance.
- Someone to run it—you, a hire, or a retainer with a team like Hendoi.
- You have (or will have) enough users that per-user hosted cost adds up.
- You care about data ownership or have light compliance needs.
- You are okay with a one-time setup and ongoing ops—or paying for managed service.
Very small teams (e.g. under 10) and founders who want zero mail ops often stay on Google or Zoho. Migration has a cost; only switch if the benefits clearly justify it.
Setup: from around ₹75,000 for a simple single-domain setup to ₹2,00,000+ for multi-domain and stricter requirements. Ongoing: hosting (₹5,000–₹20,000/month for typical small teams) plus optional management retainer. We can scope a minimal setup for early-stage budgets.
Hendoi Technologies is based in Basaveshwar Nagar, Bengaluru. We design and deploy self-hosted email for local startups and also serve US and Canada clients. Get a free consultation and quote.
