AI Agent vs AI Chatbot: What's the Real Difference? (Plain English Guide)

Vendors throw around "AI chatbot" and "AI agent" as if they were the same. They are not. If you are a business owner or manager in the USA, Canada, or Bengaluru and you are deciding what to build, this plain-English guide will help.
A chatbot is a system that has a conversation with a user. It answers questions, usually from a fixed set of topics or a knowledge base. "What are your opening hours?" "How do I return an item?" It might use an LLM to sound natural, but it does not usually open your CRM, create a ticket, or update a spreadsheet. It talks. That is it. Good for: FAQ, lead capture, simple support.
An agent is a step up: it can also do things. It can look up an order, create a support ticket, send an email, or query your database—and then tell the user what it did. It uses the same kind of "brain" (an LLM) but is connected to your tools and data. So when a customer says "Cancel my order #12345," the agent can actually trigger the cancellation in your system and confirm. Good for: support that acts, sales assistance, internal assistants, workflow automation.
Chatbot: answers questions. Agent: answers questions and takes action in your systems. If you need the AI to only answer—use a chatbot. If you need it to check, update, or trigger things in your business—you need an agent.
- Chatbot – FAQ, lead forms, simple Q&A, no need to touch your backend.
- Agent – "Check my order," "Create a ticket," "What is in my pipeline?" Anything where the AI must read or change data in your tools.
Chatbots are often simpler and cheaper. Agents need more design (what actions? how do they connect to your CRM/API?) and development, so they cost more and take longer. The payoff is that agents can replace more manual work and give a better experience because they do not just talk—they act.
Say: "We need the AI to [check orders / create tickets / update our CRM]. Can you build that?"
