AI Agent vs Automation Script: Which One Does Your Business Actually Need

Sometimes you need an AI agent; sometimes a script is enough. Here’s how to choose so you don’t overbuild or underbuild.

A script (or workflow tool like Zapier) runs a defined sequence: “When X happens, do A, then B, then C.” No language understanding, no decisions—just triggers and actions. Use it when the logic is stable and you can spell it out completely (e.g. “When form submits, create CRM lead and send email”). Cheap, predictable, easy to maintain.

An agent uses an LLM to understand what the user said or what the situation is, then chooses actions (call this API, run that tool, ask a follow-up). Use it when the input is language or when the “next step” depends on context (e.g. support triage, lead qual, answering questions from your docs). More flexible, but more cost (build and API) and more care (guardrails, errors).

Pick a script when: inputs are structured (forms, webhooks, schedules) and the path is always the same. Pick an agent when: inputs are natural language or ambiguous, or the path depends on content (e.g. “Does this need human handoff?”). Hybrid is common: script handles the heavy lifting; agent handles the “what did they mean?” and routing.

Scripts are usually cheaper to build and run. Agents cost more (LLM calls, design, guardrails) but handle cases you can’t easily script. For many businesses, start with a script where possible; add an agent where language or judgment is needed.
