Fixed Price vs Time & Material: Which Contract Is Better for Your App Project?

When you hire a dev agency for an app project, you often choose between fixed price and time & material (T&M). Each has pros and cons. This guide helps you decide—especially if you are working with a team in India (e.g. Bengaluru) from the USA or Canada.
You agree on a scope (features, deliverables, acceptance criteria) and a total price. The agency commits to that scope for that price. You know the cost up front. Good when the scope is clear and unlikely to change much.
Pros – Predictable budget, no surprise invoices, and the agency bears the risk of underestimation. Cons – Changes usually mean change requests and extra cost. If the brief was vague, you may end up renegotiating or getting less than you hoped. Rigid scope can slow down iteration.
You pay for time (e.g. per hour or per sprint) and sometimes materials (e.g. tools, licenses). Scope can evolve; you prioritise together. Good when you are still figuring out requirements or want to iterate quickly.
Pros – Flexible: add or drop features, pivot, and refine as you learn. You pay for what you use. Cons – Budget is less predictable. You need trust and visibility (e.g. timesheets, demos) so you know where the time goes.
Choose fixed price when you have a clear spec, a fixed budget, and limited appetite for scope creep. Common for MVPs with a defined feature set or one-off builds (e.g. plugin, landing page). Choose T&M when the product is evolving, you want to iterate with the team, or you prefer flexibility over fixed cost. Common for long-term product development or when you are still validating.
Some agencies offer a hybrid: fixed price for a core scope and T&M for additional work or a follow-on phase. At Hendoi we offer both and recommend based on your project. We document everything in a clear SOW so there are no surprises.
