Setting up a private mail server for a small business is doable if you have a clear plan and the right tools. Here’s a practical outline.

A server (VPS or dedicated) with a static IP, a domain with MX (and ideally SPF, DKIM, DMARC) configured, and someone who can maintain the stack. Budget time for setup, testing, and monitoring. One-off setup can take a few days; ongoing work is mostly updates and watching logs.

Common options: (1) Postfix + Dovecot + optional webmail (e.g. Roundcube)—flexible, widely documented. (2) All-in-one solutions like Mailcow or iRedMail—faster to deploy, less flexible. For a small business, an all-in-one often gets you to “working” sooner; Postfix gives more control if you need it.

Install the stack, set hostname and PTR (reverse DNS), configure Postfix (or equivalent) for sending/receiving, set up Dovecot (or built-in IMAP) for access, add TLS (Let’s Encrypt), and configure SPF/DKIM/DMARC so other servers trust your mail. Test with external addresses (e.g. Gmail) and fix bounces or spam issues. Then add backup and basic monitoring.

Keep the OS and mail stack updated. Use strong passwords or key-based auth. Restrict admin access. Plan for backups and a simple runbook (e.g. “if mail stops, check X”). Without ongoing care, deliverability and security can slip.
