How to Stop Using Gmail and Get a Private Email Server Built for Your Company

6 min read

Moving from Gmail or Google Workspace to your own email server is doable. Here’s how to do it without breaking mail flow or losing messages.

Common reasons: control and ownership of data, privacy or compliance (e.g. GDPR), or cost at scale. Knowing why helps you choose the right design (e.g. full self-host vs managed private mail) and what to prioritize (deliverability, backup, support).

Building yourself means choosing a stack (e.g. Postfix + Dovecot or Mailcow), a server, and doing setup, DNS (MX, SPF, DKIM, DMARC), and ongoing maintenance. Only do it if you have (or will hire) someone who can run and secure it. Otherwise, hire an agency that designs and runs private mail—many US and Canada companies use a team in Bengaluru that specialises in this.

Your domain, approximate number of mailboxes, and any compliance or retention requirements. They’ll propose architecture, timeline, and cost. You should get: migration plan (how existing mail and addresses move), cutover steps, and post-launch support (monitoring, updates, backup). Ask how they handle deliverability (avoiding spam folders) and support in your timezone.

Often: set up the new server and DNS, create accounts, then switch MX to the new server (or do a phased cutover). Export and import old mail if you need history. Test sending and receiving (including to Gmail/Outlook) before you fully switch. Plan for a rollback if something goes wrong.

You’ll need to maintain the server (or have a retainer): updates, security, and dealing with bounces or blocklists. A good team will document and hand over runbooks. Hendoi Technologies designs and runs private mail for companies in the US, Canada, and Bengaluru. Free consultation.
