How to Write a Good Project Brief When Hiring an Indian Dev Agency

A clear project brief helps you get accurate quotes and aligned delivery when hiring an Indian dev agency. USA and Canada buyers often search for this before reaching out. Here is how to write one.

Agencies in India (e.g. Bengaluru) receive many inquiries. A brief that spells out goals, scope, and constraints gets you better proposals and fewer misunderstandings. It also shows you are serious and saves back-and-forth.

1. Overview – One paragraph: what is the product or project, and what problem does it solve? 2. Goals – What success looks like (e.g. “launch MVP in 12 weeks,” “migrate legacy API”). 3. Scope – Features and screens in simple list or bullets. Call out “in scope” and “out of scope” if helpful. 4. Users and context – Who will use it (B2B, B2C, internal) and any compliance (e.g. data residency). 5. Tech preferences – Stack if you have one; otherwise “open to recommendation.” 6. Timeline and budget – Rough timeline and whether you have a budget range (helps agencies propose realistically). 7. Your team – Will you provide design, PM, or only direction? Who is the single point of contact?

Keep it readable: 1–2 pages is enough. Use plain language. Attach wireframes or mockups if you have them. If the project is sensitive, mention NDA and confidentiality up front.

Good agencies will ask clarifying questions and may suggest adjustments. Use the brief as the base for a statement of work (SOW) and milestones. Align on communication (Slack, email, weekly calls) and timezone overlap.
