Why Your Company Should Stop Using Gmail and Host Its Own Email

Gmail and Google Workspace are convenient, but more companies are considering self-hosted email. Here’s when and why it can make sense.

With your own mail server, you own the data and the logs. You decide retention, backup, and who has access. No dependence on a third party’s policy changes, price hikes, or feature removals. For regulated or privacy-conscious industries, that control is often non-negotiable.

Self-hosted email can keep sensitive traffic on your infrastructure and within your region. That helps with GDPR, sector-specific rules, and customer expectations. You can enforce encryption, access controls, and audit trails in line with your policy.

At small scale, Google Workspace is cheap. As headcount and storage grow, per-seat and storage costs add up. A well-run private mail server can be cheaper over time, especially if you already have ops capacity. The trade-off is upfront setup and ongoing maintenance.

Worth it if you have (or can hire) someone to run and secure the server, need strict control or compliance, or have enough users that cost becomes a factor. Not worth it if you’re a tiny team with no ops and no compliance drivers—stick with a hosted provider.
